Annual Inspection Process
Potomac Glen inspects all homes annually for maintenance or covenants issues that need to be corrected. We understand that most people have very busy schedules and that it’s sometimes hard to keep up with the maintenance of your home. The purpose of the annual inspection is to maintain the curb appeal of the community and increase the value of your home.
If you receive an inspection letter, please respond in any of the ways mentioned below. We are always willing to work with you if you need more time or aren’t clear about what to do. If we don’t hear from you, however, the violation remains open and you could be subject to fines and other enforcement measures.
What do we look for?
Generally, we look for items that stand out as needing maintenance, such as rotted trim, faded or missing shutters, driveways in need of repair. We also look for items that don’t comply with the Association’s legal documents. Examples of this include incorrect paint colors or unapproved changes to your home or yard.
We recommend that you take an objective look at your home each year using the Home Inspection Checklist. This Checklist outlines most of the items that are checked during the annual inspection.
How does the inspection and enforcement process work?
First Notice – If an issue is noted at your home, a friendly reminder is sent to you by Potomac Glen, asking you to respond, either by correcting the issue or requesting an extension of time to do so. This first notice also gives you the opportunity to request a hearing with the Board of Directors.
Section Notice and Initial Fine – If we have not heard back from you by the deadline mentioned in the first letter, or if the issue remains open, an initial fine ($25 or another amount as determined by the Board) is added to your account and a second notice is sent. At that time, your common area privileges (e.g. use of the pool) may be suspended.
Third Notice and Ongoing Fines – If we have still not heard back from you within 30 days of the second letter, or if the issue remains open, a third letter will be sent to you asking that the matter be addressed.
A fine ($50 or another amount as determined by the Board) will be added to your account if the issue remains open after the deadline mentioned in the second notice. An additional fine, currently $100/month, will be assessed as long as the violation is unresolved.
The last thing Potomac Glen wants to do is impose fines. Therefore, it’s very important that you respond to the letters that you receive. The community is always willing to work with homeowners to offer more time for repairs to be made.
Your response can be any of the following:
- You can let us know that the issue has been corrected. It can take up to 15 days for your home to be reinspected and the issue closed, so if you are planning to use the pool, don’t wait until the last minute to make the repairs or notify us.
- You can ask for more time to complete the repairs. We are always happy to give you a reasonable extension of time. However, you may not use the pool until all issues have been corrected. If you are already being fined, fines will continue during this extension period but may be retroactively waived.
- You can let us know that you feel that the issue was cited incorrectly. We will reinspect your home and, if we did make a mistake, close the matter. Otherwise, we will provide you with more details. It can take up to 15 days for your home to be reinspected and the issue closed, so if you are planning to use the pool, don’t wait until the last minute to contact us.
- You can appeal the matter to the Board of Directors. Appeals must be submitted within ten days of the date of the first notice. If you are planning to use the pool, don’t wait until the last minute to request an appeal.
Responses can be by mail, e-mail or via the owner portal. Be sure to reference the XN number that is on the letter for a faster response.

With 669 homes in Potomac Glen, we will not know that you have corrected an issue unless you tell us that you have. If you don’t respond, then we have to assume that the issue has not been corrected, and enforcement action will continue.
Enforcement action includes losing your pool privileges, fines and possible additional legal action. Avoid this by responding in a timely manner to any letters that you receive and don’t wait until the last minute.
